How to Prepare Print-Ready Files

Our goal is to provide you with a pleasant printing experience, free of errors and with quick turnaround. Using the following information to prepare your files for output will ensure that your job will turn out the way you expect. This also helps avoid delays that can occur when file intervention is necessary, saving you both time and money.

*Programs not recommended for layout. If you are using them for layout, please provide a print-ready PDF for printing purposes.

Setting Up Files For Success

When creating a new document, set your document size for the final size of the finished piece when flat (not folded or bound). Margins should be set to at least 1/8” (.125”) to ensure that the image area isn’t trimmed off inadvertently. Extend the bleed by 1/8” (.125”) beyond the final size.

Placed Graphics

Convert RGB to CMYK before placing the image. A file in RGB mode does not display the same as it will print in CMYK. Preferred dpi for all image files is 300 dpi. Images in 72 dpi (as are most files downloaded from the web) can print poorly and can not be improved upon.

Creating Print-ready PDF Files

When exporting or printing to a PDF, be sure to include a 1/8” (.125”) bleed. A bleed is anything that extends beyond the finished size of the piece (graphics, background images, etc).

InDesign Preferred Settings For PDF Export

Illustrator Preferred Settings For PDF Export

1) Go to file – Document Setup

2) Add .125” bleed to top, bottom, left and right – OK

3) Go to file – Save as, select Adobe PDF

4) Select “Press Quality” from dropdown

5) Under Marks and Bleeds, Check Trim Marks and Use Document Bleed Settings – Save PDF

Canva Pro Preferred Settings for PDF Export

1) Make sure anything that bleeds is pulled 1/8” beyond the trim edge.

2) Click on share in upper right corner.

3) Click download at bottom left of drop-down menu.

4) Change file type to PDF Print.

5) Under PDF Print, click on crop marks and bleed.

6+ If possible, under color profile, change to CMYK.

7) Click download.

Keep in mind, the customer won’t be able to resize files or change the color profile to CMYK unless they have the Canva Pro version, the free version doesn’t support these options.

Microsoft Publisher Preferred Settings For PDF Export

1) Make sure you have extended anything that is meant to bleed 1/8” beyond the edge of the page

2) Go to File then Export and follow the clips below

Change all settings to the above with the exception of step 5 – make the “paper – size” option “custom” and set the size to be 1/2” larger than the page size. Example: If your document is 9” x 6”, set size to 9.5” x 6.5”

Microsoft Word Preferred Settings For PDF Export

1) Click File in the top menu.

2) Select Save As or Export.

3) Choose the folder where you want to save the file.

4) In the File Format or Save as type dropdown, select PDF.

5) Click Options (if available) and verify:

– Page size is correct

– All pages are included

– “Best for printing” or “High quality printing” is selected

6) Click Save or Export.

Recommended PDF Settings

– Use High Quality Print

– Do not compress images if possible

– Review the PDF before sending to ensure formatting remains correct

Microsoft Excel Preferred Settings For PDF Export

1) Click File in the top menu.

2) Select Save As or Export.

3) Choose the folder where you want to save the file.

4) Select PDF from the file type dropdown.

5) Click Options (if available) and verify:

– Workbook, sheet or selection

– Best for Printing

– Proper scaling and margins

6) Click Save or Export.

Recommended PDF Settings

– Use landscape orientation when appropriate

– Avoid scaling below readable sizes

– Review the final PDF to ensure all columns and rows display correctly

Microsoft Publisher Preferred Settings For PDF Export

1) Click File in the top menu.

2) Select Save As or Export.

3) Choose the folder where you want to save the file.

4) Select PDF from the file type dropdown.

5) Click Options (if available) and verify:

– Best for printing or “Standard (publishing online and printing)” is selected

– All slides are included

– Correct slide size and orientation are used

6) Click Save or Export.

Recommended PDF Settings

– Use Best for printing or “Standard” quality for printing

– Avoid placing important text too close to slide edges

– Review the exported PDF to ensure images and text appear sharp and aligned
